POSITION DESCRIPTION JOB TITLE: Rotable/Warranty AdministratorDEPARTMENT: Procurement FLSA STATUS: Exempt POSITION SUMMARY:
The Rotable/Warranty Administrator will track machinery, equipment, tools, parts, and/or supplies with warranty coverage and initiate claims with vendors/suppliers when necessary. They will compile and analyze statistical data to help determine reliability of vendor/supplier. This position will also manage all component repair and exchange orders, tracking core return due dates and ensuring cores are returned on time. This role is responsible for issuing, coordinating, and managing repair orders, tracking the entire repair process, and ensuring that parts are delivered on time and in compliance with quality standards.
KEY RESPONSIBILITIES
- Provide material support to the entire company.
- Create repair orders or purchase orders with vendors to meet internal requirements.
- Coordinate with Maintenance Planning and Buyers regarding completion dates of repair orders to reduce purchasing costs.
- Ensure timely responses are provided to all requests from the stock rooms.
- Manage removed cores and repair order process and determine appropriate repair condition.
- Maintain inventory at appropriate levels, determining proper stocking requirements based on consumption data, location and seasonality.
- Identify supplier capabilities and explore beneficial repair options.
- Ensure that inventory and materials have proper certification and inventory tags.
- Review inventory levels, requisitions, station allocations & usage data to determine proper stock coverage.
- Analyze consumption data, manufacture data and forecast parts requirements to determine best inventory position. Creates solicitations and Request for Proposal (RFP) documentation, supports proposals, conducts price and cost analysis, negotiates price/cost and related terms and other agreement provisions
- Analyze and calculate procurement costs and develop cost reduction strategies. Negotiate with suppliers and contractors regarding specifications, scope of work, prices, terms and conditions. Analyze cost and price data from vendors
- Be constantly aware of industry changes and the availability of alternate sources of materials.
- File claims against suppliers for components that do not meet their warranty guarantee, damaged or lost-in-transit components/parts.
- Support surplus sales initiatives
- Participate in inventory reviews and audits as required
- Report and document all cost savings and cost avoidance activities.
- Maintain tight controls to ensure all inventory is well managed and accounted for.
- Establish and maintain good housekeeping practices of all assigned areas.
- Other duties as assigned.
POSITION REQUIREMENTS Knowledge, Skills & Abilities:
- Knowledge of MROs and repair order administration
- Knowledge of aircraft component exchange programs and warranties
- Organizational skills; must be able to prioritize workload
- Oral & written communication skills
- Ability to work independently with minimal supervision
- Ability to learn and adhere to the Companys General Maintenance Manual (GMM) 135 Regulations and Dangerous Goods CFR 49.
- General knowledge of the regulatory requirements for purchasing and spare inventory
Qualifications Education:
- Bachelor’s Degree preferred
- Professional certification is a plus.
Work Experience:
- Prior experience in the airline/aviation industry is a necessity.
- Prefer at least four (4) years in an aircraft component repair administration, purchasing or supply chain analyst role
- Warranty reclamation experience preferred
- Prior inventory management forecasting and analysis experience preferred
Miscellaneous Requirements:
- Valid driver’s license and reliable transportation
- Computer, phone skills
- Ability to read, write and speak English effectively.
- Ability to work within a 24/7 operation including holidays.
- Ability to pass 10-year background check and pre-employment drug screen as required by airline regulations and company policies.
- At least 18 years of age.
- Authorized to work in the U.S. per the Immigration Act of 1986.
Physical requirements:
- Must have sufficient vision and ability to safely perform the essential functions of the position in a normal office environment.
- Must be able to communicate through verbal, written, and electronic means.
- Must be able to access filing cabinets, drawers, and shelves of varying height.
- Must be able to move up to 25 pounds on an infrequent basis.
